This can include information about health, disability, racial or ethnic origin, religious or philosophical beliefs, sexual orientation and certain other protected categories.
BCCW does not routinely seek special-category information from customers. However, we may need limited health or disability information where you request an accessibility adjustment, raise a safety or welfare concern or are involved in an incident or safeguarding matter.

If you provide personal information about another person, you should only do so where you are entitled to provide it.
7. Why We Use Personal Information
We use personal information only where we have a lawful reason to do so.
Providing tickets, merchandise and services
We use information to:
-
process ticket and season-ticket purchases;
-
reserve seats where applicable;
-
process merchandise orders;
-
deliver merchandise;
-
administer website accounts;
-
issue confirmations and tickets;
-
provide season-ticket benefits;
-
administer refunds or other contractual remedies;
-
answer questions about purchases; and
-
provide other services you request.
Our lawful basis will normally be that the processing is necessary to perform our contract with you or to take steps you have asked us to take before entering into a contract.
Customer communications
We may use your contact details to send essential information about an order or event, including:
-
order confirmations;
-
ticket information;
-
changes to event timings;
-
venue information;
-
event cancellation or rescheduling information;
-
important safety information;
-
delivery information; and
-
responses to enquiries.
These are service communications rather than marketing communications.
Our lawful basis will normally be contract, legal obligation or our legitimate interests in operating and supporting our events and services.
Business administration and legal records
We may process information for:
-
accounting;
-
tax;
-
financial reconciliation;
-
company administration;
-
auditing;
-
responding to legal claims;
-
enforcing contractual rights; and
-
complying with legal or regulatory obligations.
The lawful basis may be legal obligation or our legitimate interests in managing and protecting BCCW.
Security and fraud prevention
We may use information to:
-
protect customer accounts;
-
prevent fraudulent purchases;
-
investigate misuse of tickets;
-
protect our website;
-
protect BCCW, its customers and its property; and
-
investigate suspected unlawful activity.
Our lawful basis is normally our legitimate interests in protecting our organisation, customers and services, or a legal obligation where applicable.
Improving BCCW
We may use appropriately limited information to understand:
-
attendance;
-
purchasing trends;
-
ticket demand;
-
website performance;
-
customer experience;
-
event performance; and
-
the effectiveness of BCCW's services.
-
Where information is anonymous so that individuals can no longer be identified, it is no longer personal information.
Where identifiable information is used, we rely on an appropriate lawful basis such as legitimate interests or consent where consent is required.
8. Our Legitimate Interests
Where we rely on legitimate interests, we consider whether our use of personal information is necessary and whether those interests are overridden by your rights and interests.
BCCW's legitimate interests may include:
-
operating and improving our events;
-
providing customer service;
-
managing our relationship with customers;
-
protecting our business and website;
-
preventing fraud;
-
maintaining appropriate business records;
-
promoting BCCW;
-
documenting BCCW events;
-
protecting the safety and welfare of attendees, talent and staff; and
-
establishing, exercising or defending legal claims.
We will not rely on legitimate interests where our interests are overridden by your rights and freedoms.
9. Marketing
BCCW may send information about:
-
forthcoming events;
-
ticket releases;
-
offers;
-
merchandise;
-
competitions;
-
BCCW news; and
-
similar BCCW products and services.
For email, SMS, direct messages and other forms of electronic marketing, we comply with applicable data-protection and electronic-marketing rules.
Depending on the circumstances, we may send electronic marketing where:
-
you have specifically consented to it; or
-
the existing-customer or “soft opt-in” rules lawfully allow us to contact you about similar BCCW products or services.
Where we rely on the soft opt-in, you must have been given a clear opportunity to opt out when your details were collected and in every subsequent marketing communication.
We will not use a ticket purchase as automatic consent to unrelated marketing.
Where consent is requested, it will be separate from acceptance of our Terms and Conditions and will not use a pre-ticked box.
You can unsubscribe from electronic marketing at any time by:
-
clicking the unsubscribe option in a marketing message; or
-
emailing bccw2021@gmail.com.
Stopping marketing will not prevent us from sending necessary service messages relating to an existing purchase, booking or event.
We may retain limited information on a suppression list after you unsubscribe so that we can make sure we do not accidentally add you back to a marketing list.
10. Cookies, Analytics and Advertising
Our website uses cookies and similar technologies.
Some technologies are necessary for functions such as:
-
website security;
-
login and account management;
-
shopping baskets;
-
checkout;
-
ticket purchasing; and
-
remembering essential preferences.
Where the law requires consent for analytics, advertising, personalisation or other non-essential technologies, they will not be intentionally activated until the appropriate consent has been obtained.
You should be able to change or withdraw applicable cookie choices through the controls made available on our website.
Further information about the technologies used, their purposes and available controls is contained in our Cookie Policy.
11. Payment Information
Payments made through our website are processed through payment-service providers integrated with or connected to our website platform.
Depending on the payment method and configuration in use, these may include Wix Payments and associated payment processors, or alternative providers such as PayPal.
These providers may receive information including:
-
your name;
-
billing information;
-
payment-card or account information;
-
transaction amount;
-
transaction identifier; and
-
technical fraud-prevention information.
BCCW does not normally need to receive or store your complete payment-card number.
Payment providers process payment information under their own security, regulatory and privacy obligations.
We may receive transaction information necessary to identify the purchaser, reconcile payments, issue refunds, prevent fraud and maintain accounting records.
12. Event Photography, Video and Audio
BCCW events may be photographed, filmed, livestreamed or audio-recorded.
People attending may therefore appear in:
-
general crowd photography;
-
audience reaction shots;
-
background footage;
-
recordings of matches and event segments;
-
promotional videos;
-
social-media content;
-
website content;
-
documentaries or retrospective content; and
-
other reasonable BCCW event coverage.
For ordinary event coverage where attendees appear as members of the audience or incidentally within an event recording, BCCW will normally rely on its legitimate interests in documenting, promoting and preserving its events.
Ticket purchase itself is not treated as unlimited consent to use a person's image for every possible purpose.
We will take reasonable steps to inform attendees that photography and filming are taking place, which may include website information, ticket information, signs or announcements.
If you have a particular concern about appearing in photography or filming, please contact us before the event or speak to an appropriate BCCW representative at the venue.
We will consider reasonable objections and requests relating to identifiable promotional material.
It may not always be possible to prevent incidental appearance in crowd footage or to remove an individual from footage that has already been produced, published, livestreamed or incorporated into wider event content. Any request will nevertheless be considered fairly in accordance with applicable data-protection law.
13. FanZone, Posed and Promotional Photography
Where an individual deliberately participates in a FanZone photograph, posed promotional photograph, interview or similar activity, we may provide additional information about how that material will be used.
Where appropriate, we may ask for consent.
We will take particular care where a child is the main identifiable subject of posed or promotional material.
Where appropriate, permission from a parent or guardian will be sought before deliberately using an identifiable child as the main subject of promotional content.
Participation in optional posed photography will not be a condition of general event admission.
14. Children
Children may attend BCCW events and may access publicly available areas of our website.
Our commercial purchasing services are primarily intended to be managed by adults.
BCCW does not knowingly seek to use children's personal information for behavioural advertising.
Where we know that we are handling a child's information, we will take their age and the circumstances into account and seek to provide additional protection where appropriate.
Where information concerning a child is required for:
-
an accessibility arrangement;
-
safeguarding;
-
a complaint;
-
an incident;
-
emergency contact;
-
an optional activity; or
-
photography where the child is deliberately the primary subject,
we will only collect information that is reasonably necessary and will take appropriate steps regarding parental or guardian involvement where required.
15. Accessibility and Health Information
If you contact BCCW about disability-related or medical accessibility requirements, you may provide information concerning your health.
Health information is special-category personal data and receives additional protection.
We will collect only information reasonably necessary to understand and arrange the adjustment.
Our Article 6 lawful basis will normally be legal obligation, including our obligations relating to accessibility and equal access to services.
Where we rely on your explicit consent as the additional condition required for processing health information, we will make that clear and you may withdraw that consent.
Only people who reasonably need the information in order to arrange or provide the adjustment should have access to it.
Accessibility information will not be used for marketing.
16. Safeguarding, Welfare and Incidents
BCCW may collect personal information when dealing with:
-
safeguarding concerns;
-
welfare concerns;
-
accidents or injuries;
-
complaints about behaviour;
-
security incidents;
-
near-misses;
-
allegations of misconduct; or
-
other event-related incidents.
Information may include names, contact details, witness statements, photographs, video, details of what happened and, where necessary, health information or information relating to alleged unlawful conduct.
Our normal Article 6 basis will be our legitimate interests in protecting attendees, talent, staff and BCCW, compliance with a legal obligation, or another applicable lawful basis.
Where special-category information or criminal-offence information is involved, we will only process it where an additional condition permitted by UK law applies.
Depending on the circumstances, this may include safeguarding children or individuals at risk, preventing or detecting unlawful acts, legal claims or another applicable legal condition.
Access to sensitive safeguarding and incident information will be restricted to people who reasonably need it.
We may share relevant information with a venue, safeguarding professional, insurer, emergency service, police, local authority or other appropriate body where lawful and necessary.
17. Social Media
BCCW operates pages and accounts on third-party social-media platforms.
If you:
-
follow BCCW;
-
comment on our content;
-
send us a direct message;
-
tag or mention us;
-
enter a promotion through social media; or
-
otherwise interact with our accounts,
we may receive information supplied by that platform and information you choose to make available.
The social-media provider also processes information under its own privacy policy and may act as a separate data controller.
We recommend reviewing the privacy controls provided by the social-media services you use.
18. Who We Share Personal Information With
We do not sell your personal information.
We may share information where reasonably necessary with organisations such as:
Website and technology providers
Including Wix and providers supporting hosting, accounts, ticketing, ecommerce, communications, security and other website functionality.
Payment providers
Including providers used to process card, digital-wallet or other payments.
Delivery and fulfilment providers
Where necessary to send merchandise or another physical item to you.
Venues and event-service providers
Where information is genuinely required to operate an event, provide an accessibility adjustment, manage seating, maintain safety or resolve an issue.
Photographers, videographers and production providers
Where they provide event media or production services on behalf of BCCW.
Marketing and analytics providers
Only where the necessary legal requirements, including cookie or electronic-marketing requirements where applicable, have been met.
Professional advisers
Such as accountants, insurers, legal advisers or other professional service providers where necessary.
Authorities and emergency services
Where disclosure is required or permitted by law or is reasonably necessary in connection with safety, safeguarding, fraud, crime or legal proceedings.
A successor organisation
If BCCW undergoes a restructuring, merger, transfer or sale, information may be transferred where lawful and subject to appropriate safeguards.
Where another organisation processes personal information on our behalf as a processor, we require appropriate data-protection arrangements.
Some third parties, such as payment providers, social-media companies or venues operating their own systems, may also act as separate controllers and have their own privacy responsibilities.
19. Venue CCTV and Security Systems
The venue hosting a BCCW event may operate CCTV, access-control or security systems independently of BCCW.
Where the venue determines how and why that information is processed, the venue will generally be responsible for that processing under its own privacy arrangements.
BCCW may receive CCTV or other venue information where lawful and necessary to investigate an incident, complaint, safeguarding matter, insurance issue or legal claim.
20. International Transfers
Some companies providing technology, payment, communications, analytics or other services to BCCW operate internationally.
This means personal information may sometimes be stored or accessed outside the United Kingdom.
Where UK data-protection law treats this as a restricted international transfer, we will take reasonable steps to ensure that an appropriate lawful transfer mechanism applies.
Depending on the recipient and destination, this may include:
-
UK adequacy regulations;
-
the UK Extension to the EU-US Data Privacy Framework where applicable;
-
an International Data Transfer Agreement;
-
an approved UK Addendum to standard contractual clauses; or
-
another safeguard or exception permitted by UK law.
You may contact us if you require further information about safeguards applying to a particular transfer.
21. How Long We Keep Personal Information
BCCW does not keep identifiable personal information indefinitely simply because it may be useful in future.
Retention depends on why the information was collected.
Ticket, merchandise and transaction records
We will normally retain appropriate financial and transaction records for up to six years after the relevant accounting period or transaction where necessary for accounting, tax, contractual or legal purposes.
This does not mean that complete payment-card information is retained by BCCW.
Website accounts
Account information will normally be retained while the account remains active.
Inactive or closed accounts will be periodically reviewed and deleted or anonymised where there is no continuing contractual, legal or legitimate reason to retain the information.
Information relating to transactions may need to be retained separately for longer.
Customer-service enquiries and complaints
Routine enquiries will normally be retained only for as long as reasonably required to resolve and administer them.
Complaints or disputes may be retained for longer where necessary to demonstrate how the matter was handled or to establish, exercise or defend legal claims.
Marketing information
Marketing information will be retained while you remain subscribed or while another lawful marketing basis continues to apply.
We periodically review marketing records and do not intend to keep inactive marketing profiles indefinitely.
If you opt out, we may retain limited suppression information for as long as necessary to respect your choice.
Competition and promotion information
Information collected solely for a competition or promotion will normally be deleted or anonymised after the promotion has been completed and any prizes and reasonable follow-up administration have concluded, unless there is another lawful reason for keeping it.
Accessibility information
Health or accessibility information collected solely for a particular event will normally be deleted within a reasonable period following the event, generally within three months, unless:
-
you ask us to retain an accessibility preference for future events;
-
there has been an incident or complaint;
-
a legal or insurance issue requires longer retention; or
-
another lawful reason applies.
Incident and safeguarding records
Incident, welfare and safeguarding records are retained according to the seriousness and nature of the matter.
Routine incident information will be deleted when it is no longer reasonably required.
Some safeguarding, insurance or legal records may need to be kept for longer, particularly where children or individuals at risk are involved or where future legal proceedings remain possible.
Website and cookie information
Retention periods for cookies and similar technologies vary according to their purpose and will be set out in our Cookie Policy or consent-management information.
Photography and event recordings
Raw and published event photography or recordings may be retained for as long as reasonably necessary for the purpose for which they were created.
Finished BCCW event footage, photographs and other media may form part of BCCW's historical event archive and may therefore be kept for an extended period where our legitimate interest in maintaining that archive continues and individuals' rights do not override that interest.
We periodically consider whether personal information remains necessary and will securely delete or anonymise information where there is no longer a lawful reason to retain it.
22. Security
We take appropriate organisational and technical steps designed to protect personal information against:
-
unauthorised access;
-
accidental loss;
-
destruction;
-
alteration;
-
inappropriate disclosure; and
-
other unlawful processing.
These measures may include:
-
restricting access to those who reasonably require it;
-
using password and account controls;
-
using reputable website and payment providers;
-
maintaining appropriate access permissions; and
-
limiting the information collected and retained.
No internet or electronic storage system can be guaranteed to be completely secure.
Where a personal-data breach occurs, we will investigate it and comply with applicable legal reporting and notification requirements.
23. Your Data-Protection Rights
Depending on the circumstances and the lawful basis being used, you may have the right to:
Be informed
You have the right to understand how we use your personal information.
Access your information
You may ask for a copy of personal information we hold about you.
Correct inaccurate information
You may ask us to correct inaccurate information or complete incomplete information.
Request erasure
You may ask us to delete personal information in certain circumstances.
The right to erasure is not absolute. For example, we may need to retain transaction information for legal or accounting purposes or information necessary for legal claims.
Restrict processing
You may ask us to restrict how information is used in certain circumstances.
Data portability
In certain circumstances, you may be able to receive information you provided to us in a structured, commonly used and machine-readable format or ask us to transfer it to another organisation.
Object to processing
You may object to certain processing carried out on the basis of legitimate interests.
YOU HAVE AN ABSOLUTE RIGHT TO OBJECT TO THE USE OF YOUR PERSONAL INFORMATION FOR DIRECT MARKETING.
Withdraw consent
Where we rely on your consent, you may withdraw it at any time.
Withdrawal does not make earlier processing carried out while the consent was valid unlawful.
Not every right applies in every situation.
We may need to ask for reasonable information to verify your identity before acting on a request.
We will respond within the timescales required by applicable law.
24. Automated Decision-Making and Profiling
BCCW does not currently make decisions about customers based solely on automated processing that produce legal or similarly significant effects.
We may use limited segmentation, analytics or advertising tools to understand audiences or tailor marketing where legally permitted.
Where these activities involve non-essential cookies or similar technologies, applicable consent requirements will be followed.
If our use of significant automated decision-making changes, this Privacy Policy will be updated.
25. Complaining About How We Use Your Information
We would appreciate the opportunity to resolve privacy concerns directly.
Contact us at:
You also have the right to complain to the UK's independent data-protection regulator:

Telephone: 0303 123 1113
You do not have to contact BCCW before making a complaint to the ICO.
26. Requests to Delete or Remove Information
You may contact bccw2021@gmail.com to request deletion of personal information.
We will assess the request under applicable data-protection law.
We cannot always delete every record immediately. For example, we may lawfully need to retain information because of:
-
accounting or tax requirements;
-
an unresolved transaction;
-
fraud prevention;
-
safeguarding;
-
an insurance matter;
-
a complaint or dispute;
-
legal proceedings; or
-
the establishment, exercise or defence of legal claims.
If information cannot be deleted, we will explain the position where required.
27. Third-Party Websites
Our website may contain links to third-party sites and services.
Those organisations are responsible for their own privacy practices.
A link from BCCW does not mean that we control or accept responsibility for another organisation's handling of personal information.
You should review the relevant third party's privacy information before providing personal data to them.
28. Changes to This Privacy Policy
We may update this Privacy Policy where our services, technology, suppliers or legal obligations change.
The latest version will be published on bccw2021.com and will display its most recent update date.
If we make a significant change affecting how existing personal information is used, we will take appropriate steps to bring the change to the attention of affected individuals where required.
Publishing an updated Privacy Policy does not by itself give BCCW the right to use information for a new incompatible purpose or override your rights under data-protection law.
